What CargoWise automates natively
CargoWise already handles workflow triggers, milestones, event-driven tasks, document production, EDI/eAdaptor connections, and rate management. When a structured status event arrives through EDI, the platform can trigger the next task. Forwarders should use these native tools before buying another system.
Where native automation stops
Three walls, and every operator knows them:
- The email wall. A huge share of operational reality arrives as free text: an origin agent's pre-alert, a trucker's reply, a customer's RFQ with the volume buried in a paragraph. CargoWise can't read prose.
- The document wall. Arrival notices, B/Ls, and carrier invoices arrive as PDFs in a hundred formats. Someone re-keys them.
- The chasing wall. When a counterparty goes quiet, no workflow trigger writes the polite third follow-up or decides when to escalate.
How agents extend CargoWise
An agent sits beside the TMS. It reads the shared inbox, parses documents, writes verified updates to CargoWise, and prepares follow-ups, quotes, and disputes. CargoWise remains the system of record. Your team does not need a migration or a new screen.
The four workflows forwarders automate first
- Milestone follow-ups and entry. This is usually the lowest-risk first workflow because no money moves and errors are easy to see and correct.
- Exception and demurrage monitoring. Free-time countdowns per container, delay detection, and pre-drafted customer notices.
- RFQ-to-quote. Parsing the request, pulling rates, applying margin rules, producing a quote for one-click approval.
- Invoice reconciliation. The agent matches carrier invoices against accruals and contracts, line by line. This workflow has the clearest link to recovered money.

Ask three questions of anyone selling CargoWise automation: Does it write to CargoWise or just produce another dashboard? What happens when a carrier changes a document format? What data does an agent need access to?
Typically the operational inbox, shipment records in the TMS, your rate sources, and carrier portals; scoped with least-privilege access and full action logging.
Can this work with Magaya or Descartes instead?
Yes. The TMS remains the system of record, and the agent handles the work around it. The same approach applies to any TMS with integration channels.
